We should discuss this again since its that time. 

We have some money and in 2013 we should IMO sponsor gone.

What are your thoughts?  This is huge event and lots of exposure for AZXC.

John GhostX will be able to elaborate more;

I know it goes to keep trails open in Moab (so we can continue to keep going up there) it goes to pay for insurance and permits for the event.  There is a lot of expenses that it goes for.  Trust me Sunny I have questioned it last year and have had my own heart burn over how things were handled in previous gone's.  That is the past though and I have spoken with John about it and the new group is setting up a very transparent site so folks know what funds are being used for.

We can either sponsor the event with $$$ or we can go out and buy something, donate it and have it raffled off.  Lets all discuss this and I am sure John will jump in to answer you question in more depth!

It seemed that last year the sponsorship was mainly to grow the group. What are the results? I know in my business if advertising dollars aren't working I don't repeat the advertising. So on that note, what were the results. How many members did we grow from the event sponsorship? With members paying $25 per year and I believe we sponsored $500 for the event, did we gain 25 members, at least 10 new members, from the endeavor?

There are a lot of local groups, events and runs that might better benefit from our sponsorship. I think this should be reviewed by the membership.

^^ I agree somewhat with Xtasy statement, we could still sponsor GoneMoab but maybe not to the tune of $500 rate. I think getting more involved locally with benefit runs, etc... is a good idea, Ive met a few different good people in the last year from other clubs, i.e. Copperstate4wheelers and they do some fun, good local stuff as well.

We did gain at least 25 members.  Last year we went from 17 sponsoring members to 43.  So IMO it worked.  Not saying we should throw money out the window but maybe donate a prize for the raffle or something?

Thats a good idea, maybe buy $100-$200 in gear or even gift card and donate for the raffle, we did gain members this year but I wouldnt attribute all to GoneMoab sponsorship, probably 5-10 or so from that and the rest from Marcin's and everybody's word of mouth advertising.

I am always for supporting an even like Moab. If people don't support it, it will eventually go away.

I agree that we need to sponsor what we take part in, and this brings up another point.  There are several events every year that are important to AZXC.  Gone Moab is one, Tread lightly is another, and the Fat Tire Bike ride as well.  Please tell me if I am missing one.  I dont think AZXC can right now afford to sponsors all these events, but we can deffinetly sponsor one and probably do a raffle as well.  I think we should get a list of cherities people think we should invest in, and then vote on which one we donate to this year.

I'm not sold on the idea of sponsoring gone Moab at the $500 level again.  Tomas has a point when he mentions that the AZXC dues are $25 per member per year.  For us to give $500 to gone Moab this year, that requires 20 members' dues to cover.

Other events that we have sponsored in the past are:  Chili Cookoff, Fat Tire, and various cleanups (Table Mesa Cleanup, 4 Peaks Pickup, etc.).  The only other outflow of cash (that I can think of) is to support the Tread Lightly! organization.

We have been trying to nail down all of the specifics for sponsorship.  I will take the blame and apologize for not getting sponsor information out on the schedule that was comparative to last year.

The event sincerely appreciates all of AZXC's efforts last year in both sponsorship and attendance.  

Anything that you could do would be appreciated this year, but mainly we would like to see everyone from AZXC come out, participate, and have a great time.

This year the event proceeds will be split.  Money generated from registration will go towards event costs (arena rentals, t-shirts, stickers, banners, permit fees for both BLM and STLA) and the goal is for all raffle proceeds to be donated to either national or local trail advocacy groups.

The group is looking at several non profit trail advocacy groups, the Blue Ribbon Coaliton, Friends For Wheelin' Club and the Red Rocks 4 Wheelers Club in Moab, Utah.

I think it is a good idea for AZXC to keep their member donated money local, but support the event through participation.  Just my .02.

I agree, I still like the idea of getting some items for a total of around $150-$200 to donate for the raffle. Gift Cards, recovery strap, D-rings, etc... stuff like that.

Im going to Moab this year and most likely Andrew and Marcin as well, Im sure we could take the items with us if they are given to me prior to departure.

Also when I talked to Marvin at Gone about the differant clubs should bring tshirts and decals to sell. Good way to bring some xtra $$$ for the club.

I priced the water bottles its gonna be like 600 bucks.  There are 25 trails total and a case is 24 bottles so you need about 3-4 cases per trail.

What are the donation money levels for gonemoab? Last year we paid $501, maybe do money to the tune of $200 this year. I like the keychain idea but how much are those with AZXC logo, if you got 200 of them at $1 a piece thats $200 so thats $400 total, hmmm? Although keychains could be put in the goodie bag opening night.

How to decide what is good, gets our name out there and doesnt cost a ton???

Keep brainstorming we can come up with something good.

No to the MT tires.  I am also seeing water as being to expensive and cumbersome.  We should pitch in to help them pay bills, or take care of the bbq, and do something to get our name out.  I suggested frisbees or beach balls because everyone will end up playing with them, so hand out 50 of them and everyone will see our name.  key chains aren't bad, but i carry my keys in my pocket and hate adding to it.

The keychains I would see more as being used for keys around the house and/or spares not necessarilly as an every day key chain but I know I always need one here and there. Either way keep brainstorming.

The AZXC swag - whatever we decide to hand out probably shouldn't be considered as part of the sponsorship of goneMoab.  That stuff could be handed out at other functions / meetings / xcursions / cleanups, etc.

What are the official levels of sponsorship at goneMoab this year?  I clicked on the sponsorship link, but it doesn't actually provide any information.  It's just a contact form for potential donors to contact goneMoab reps.

muzikman handed them out 2 years ago at Moab with thenewx website on them.  and chrishaynesusa had some goneMoab ones made up that year, as well.

Marcin has a copy in his Inbox.

IMO:  Sponsoring the Meet N Greet barbecue has a higher ROI for a Club than just providing swag, or a donated raffle item.  

Those are nice, but people don't always remember them.  

People always remember and speak to the experiences they had at events within events, like a hosted barbecue.

That would be the most helpful donation and provide what AZXC might be looking for.

Also, you know exactly where the donated money/product went.  Into my stomach!  ;D
